When the Audit Identifies Something Bigger.
Most quick wins you can implement yourself in a week. The deeper improvements — automations, custom AI agents, internal knowledge systems — are where we come in.
Book a Scoping CallFour Categories of Engagement
Most projects fall into one of these. Some combine two or three. All are scoped, fixed-price, and delivered against a defined outcome.
Process Automation
n8n · Make · Zapier · CustomWe build the actual workflows behind the recommendations: automations that connect your tools and remove the manual handoffs between them. The 30 minutes your operations manager spends setting up every new client. The CSV exports your bookkeeper still does by hand. The "I'll just remind myself in Asana" follow-ups that get forgotten.
Anything where humans are doing the work of software is a candidate for this category.
Custom AI Agents & Knowledge Systems
RAG · Custom GPTs · Internal ToolsTrain an AI on your specific documents, FAQs, processes, or product information so it can handle the routine questions while you focus on the work that requires you. This is the "AI" that actually saves time — not a generic chatbot, but a system that knows your business as well as your most experienced employee.
Most often used for inbound email triage, internal knowledge lookup, customer self-service, and structured data extraction from messy inputs.
Speed-to-Lead Agents
Inbound Response · Booking · QualifyingAI agents that respond to incoming leads within seconds — personalized, on-brand, and capable of qualifying, scheduling, or booking calls automatically. The data is unambiguous: the business that responds first wins. Most small businesses respond in hours or days. Yours will respond in seconds.
Particularly powerful for service businesses with high inbound volume and competitive markets — wedding venues, contractors, real estate, mortgage, professional services.
Process Optimization
Workflow Redesign · ERPNext · OperationsSometimes the answer is not more automation — it is fewer steps. We redesign processes that have grown unnecessarily complex before adding any tooling. Often this surfaces during the audit: a 15-step weekly reporting process that should be 7. A three-tool workflow that one tool handles natively.
Especially valuable for businesses with operational sprawl across multiple SaaS tools, where consolidating into a single platform — frequently ERPNext — eliminates the seams and the subscriptions at the same time.
Scoped, Fixed-Price, Done.
No hourly billing. No retainers you cannot cancel. No drawn-out engagements that scope-creep their way to twice the original quote.
Scoping Call
A 30-minute conversation to define exactly what you want built and what success looks like. Free of charge, no commitment.
Fixed-Price Proposal
A written scope, timeline, and price. You see what you are buying before you sign. No hourly billing surprises.
Build
Typically 1–3 weeks. You get progress updates and have access to ask questions, but you do not have to manage the project — that is our job.
Handoff & Support
Full documentation, training for your team, and a 30-day support window included. Optional retainer for ongoing maintenance and iteration.
What We Build On
We have a preferred stack — open-source, self-hostable, and built for businesses that want to actually own their operations rather than rent them. But we are pragmatic. If your business runs on tools that work for you, we build with what you have. The right answer is whatever serves your business best, not what serves our preferences.
n8n
Automation EngineOpen-source workflow automation. Self-hostable, no per-task pricing, no vendor lock-in. Our default for any new automation work.
ERPNext
Operations PlatformFull open-source ERP — accounting, CRM, inventory, project management, HR. Replaces six SaaS subscriptions when it fits.
Custom AI
Models & AgentsClaude, GPT, or self-hosted open models depending on your data sensitivity, cost profile, and use case.
Make & Zapier
When AppropriateSometimes a hosted automation platform is the right call — fast to deploy, easier to hand off to a non-technical owner. We use what fits.
Your Existing Tools
HubSpot, Jobber, Salesforce, etc.If you are already on a CRM or ops platform that works for your business, we build around it. We do not force migrations that do not pay for themselves.
Self-Hosted Infrastructure
When the Math WorksFor businesses where SaaS costs and data sensitivity have outgrown the rental model, we migrate to infrastructure you own.
"For which of you, intending to build a tower, sitteth not down first, and counteth the cost?" — Luke 14:28
Examples of What We Build
Specific projects, real outcomes. Identifying details adapted where appropriate.
Wedding Venue Inquiry Response
A regional wedding venue was losing inquiries to faster competitors while their sales rep was on tours. We built a speed-to-lead agent that responds to website inquiries within seconds — on-brand, qualifying budget and date, and offering tour booking — while the rep is still mid-meeting.
Business Brokerage Email Triage
A business brokerage was receiving 200–400 emails per listing — 95% asking the same ten questions about price, financials, and process. We built a custom agent trained on each listing's package that answers the routine questions automatically, so the broker only sees the 5% of inquiries that genuinely need a human.
Contractor CRM & Operations Build
A commercial construction firm had bids, jobs, and client communications scattered across email, Google Drive, and text messages. We built a private, self-hosted CRM tailored to how a contractor actually operates — leads, bids, change orders, and follow-ups all in one place, with email automatically tying to the right job.
Identifying details light-edited for client privacy. Outcomes are real.
How Pricing Works
Every Engagement Is Quoted Individually.
Implementation pricing depends entirely on what you need built — the complexity of the workflows, the systems involved, and the outcome you are after.
Rather than publish a price ladder that does not fit any specific business, we use the scoping call to understand what you want, then send a written proposal with a fixed price and timeline. You see exactly what you are buying before you commit a dollar.
Most engagements run between one and four weeks. Most clients know within fifteen minutes of the call whether the project makes sense.
